As the COO of Kopka Law, Donna Markus understands the critical importance of utilizing a reliable management system. She notes that the cost of using an inadequate system can be crippling.

“We needed a new case management system,” says Markus. When the firm’s prior system failed, it created “a year of chaos.”

“We couldn't get our documents, we were losing things, appointments were getting lost, and there were 30 bugs that we discovered that never really got fixed. I had to do something because we weren't making any progress.”

Markus met with four companies before choosing Filevine as her firm’s partner, a decision she says was based on the promise of a bright future.

“Filevine just stood out partly because I was looking for someone that we could grow with, right? That's going to bring us into the future; they were always looking to advance the technology. I wanted technology that was going to grow with us, and I liked what Filevine was offering.”

Markus says the system’s flexibility is her favorite feature.

“I just love how customizable it is. I don't think we've even dreamed of what it can all do yet... we have between 400 and 500 different insurance clients, and they all have different rate agreements. I never realized how we could keep it all together in the system and how it could help us report it. So the more we get into it, the more we're like, 'well, let's do this,' right? And so that's been exciting.”

One of the biggest problems Filevine solved for Kopka Law was storage. Growing at a rate of 1 TB per year, Markus says the expense of paying for all that storage was becoming prohibitive and a nightmare to manage.

“We started moving our data everywhere just so we could keep the cost down. Filevine being a one-stop shop for everything was a huge benefit to us,” she says. “That's a hidden cost many firms don't always realize right out of the gate when they look at their software costs at the beginning of the year and then they look at what they actually paid after all of the storage costs at the end of the year. It can be quite mind-blowing.”
