Job Summary

Filevine is currently hiring a Head of Deposition Operations that will initially roll into our Administration Department. We are seeking an individual who has experience managing every step of a deposition’s journey. You will oversee the end-to-end process and workflow for deposition solutions, pricing model, and ensure a strong knowledge base throughout the organization on legal recording functions.

This role reports to the Administration Office. You will be responsible for the following:

Responsibilities

  • Collaborate with the Director of Deposition Products to establish company policies and protocol for managing depositions. In initial stages you will be responsible for:
  • 1) scheduling the deposition
  • 2) assigning notaries/transcriptionists/interpreters
  • 3) producing transcripts/exhibits/videos
  • 4) generating invoices for clients
  • Once the deposition workflow has been defined, you’ll assist in hiring team members in these areas for scalability
  • Develop and execute a strategic plan to grow a notary/transcriptionists marketplace, including marketing, partnerships, and customer acquisition initiatives.
  • Collaborate with the product and engineering teams to design and implement a user-friendly marketplace platform tailored to the needs of attorneys, notaries, and transcriptionists.
  • Establish and maintain relationships with notaries and transcriptionists.
  • Analyze competitive marketplaces and develop strategies to differentiate the company’s platform.
  • Negotiate contracts and agreements with service providers, ensuring competitive pricing and high service quality.
  • Develop and implement quality assurance protocols to ensure the accuracy and reliability of the services provided through the marketplace.
  • Ensure that all services and operations comply with relevant legal, ethical, and professional standards.
  • Develop training materials and programs for attorneys, notaries, and transcriptionists to effectively use the platform.
  • Provide ongoing support and resources to users, addressing any issues or concerns that arise.
  • Oversee the daily operations of the marketplace, including user onboarding, transaction management, and customer support.
  • Monitor platform performance, making adjustments as needed to optimize user experience and efficiency.
  • Identify new revenue streams and opportunities for platform expansion, such as offering additional services or entering new geographic markets
  • Track and analyze key performance metrics related to platform usage, customer satisfaction, and financial performance.
  • Prepare regular reports for senior management, providing insights and recommendations based on data analysis.
  • Work closely with the legal, marketing, and IT departments to align marketplace development with overall company objectives.
  • Serve as the primary point of contact for any issues related to notaries and transcriptionists within the company.
  • Stay up-to-date with technological advancements in deposition management and explore ways to integrate them into the platform.
  • Occasional travel and public speaking at Legal Events.

Qualifications

  • Proven background of scaling a team, product, processes and standards for court reporting technology
  • Background in legal-tech merging technology, court reporting services or other adjacent industries
  • Strong project management skills, with the ability to oversee the development and implementation of a complex digital platform.
  • Experience leading cross-functional teams, managing timelines, budgets, and ensuring project goals are met.
  • Excellent verbal and written communication skills, with the ability to effectively liaise with attorneys, court reporters, vendors, and internal teams.
  • Strong analytical skills, with the ability to assess market conditions, identify opportunities, and develop strategic plans to grow the marketplace.
  • A bachelor’s degree in a relevant field such as legal studies, business administration, or communications is preferred, though equivalent experience in court reporting

Bonus

  • Demonstrate a deep understanding of court reporting and stenography practices. NCRA Certified or equivalent certification is preferred but not necessary
  • Relocation to Salt Lake City and working in-office is preferred but not necessary

Compensation Information:

$125,000 - $140,000

The base salary range represents the low and high end of the salary range for this position. The total compensation package for this position will be determined by each individual’s location, qualifications, education, work experience, skills and performance. We believe in the importance of pay equity - the range listed is just one component of Filevine’s total compensation package for employees. This position may also be eligible for bonuses, stock options, a paid time off policy, as well as a comprehensive benefits package, including medical, dental, and vision.
